What is a Chart of Accounts?
The Chart of Accounts (COA) is the coding structure that defines an organization’s operations in financial terms and serves as the building block of the general ledger and financial reporting. Simply put, it organizes business activities using codes and hierarchies to enable financial analysis and reporting. We use this information to communicate how our transactions support ETSU's educational and research mission. Our COA in Voyager consists of 9 segments – entity, organization, fund, fund type, account, functional class, purpose, activity, and site. These segments allow ETSU to fully meet our regulatory and reporting needs. Additionally, they provide an opportunity for alignment and efficiencies.
Training Opportunities: Chart of Accounts Roadshows
The ETSU Business and Finance Office will offer 11 training sessions for the Voyager Chart of Accounts Roadshow. Each session will cover the same material and will be held in person.
This training is an excellent opportunity to ask questions related to the Chart of Accounts and to gain an in-depth understanding of the Budget vs. Actuals module. If possible, we recommend that staff members of the same department get with their campus business manager to register for the same session. But this is not mandatory.
Each session is scheduled for approximately 90 minutes and will take place in the ETSU Culp Center, Room 311. Seating is limited to 70 participants per session. Dates: 12/5-12/12.
**If you are an employee under the College of Arts and Sciences, please try to register for either the 12/8 – 10:30am or 12/9 – 8:30am sessions, if you are available at these times, but this is not mandatory.*
To Register:
• Click on the session you’d like to join.
• Change the calendar to December.
• Select your preferred session time.
• Enter your name and additional details.
• Click “Book.”
Goals:
- Improved Data Accuracy: The new COA reduces errors by standardizing account classifications and ensuring consistent data entry.
- Enhanced Reporting: With a more organized and logical account structure, generating financial reports is faster and more accurate, enabling timely insights for strategic planning.
- Flexibility and Scalability: The multidimensional COA provides greater flexibility in managing financial data, allowing for easy adjustments and scalability as the organization grows or changes.
Chart of Accounts Intro Video
The Chart of Accounts team has been committed to re-imagining Voyager’s Chart of Accounts, expanding the accounting string to enhance ETSU’s ability to utilize more detailed data. This expansion will support more comprehensive and granular reporting for analyzing various campus activities. The redesigned Chart of Accounts will include six required segments, along with three additional segments. An introductory video provides an overview of the design and explains these segments in detail. Questions regarding the chart of accounts can be directed to the Chart of Accounts Team – Ashley McBee, Andrea Jimenez, or Stephanie Fletcher
